Send a confirmation email when a session is scheduled

Create an automated confirmation email that will be sent when a user schedules a session

If you wish to automatically send a confirmation email when a user adds a session to their schedule, navigate to the Event tab and then to the "Automations" menu item.

Next select the "Add automation" button.

You will be presented with two drop-down menus: Trigger and Action.

Select the "Trigger" menu. This includes a list of events that will trigger an automation (in this case automatically sending an email). To send a confirmation email when a user schedules a session select "Attendee - Schedules a session". You can also choose to send a separate confirmation email when an attendee unschedules a session.

Next select the "Action" menu and choose "Send an email". This will open an email editor.

a. You can choose to have the email sent from the default event contact (set under Event > Contact) or from a specific "from name" and "from email" address.

b. Add a subject line to the email (ie. You have scheduled a session). Note that the placeholder/merge fields are not supported in the subject line.

c. Add copy to the body of the email which communicates that the user has successfully scheduled a session (added a session to their schedule).

You can use the following placeholders/merge fields:

An example of an email might be:

You are a confirmed attendee for:

{{session_title}}

{{session_date}}, {{session_start_time}} - {{session_end_time}} ({{session_location}})

Please check the workshop's schedule page to view all prerequisites and what materials to bring to be adequately prepared for the session.

At any time before the workshop, if you can no longer attend, please cancel your reservation so that someone else may go instead.

d. You can also choose to attach a calendar file that is specific to the scheduled session. This will include the calendar file for the scheduled session. Some calendar programs will pick up the files automatically from this; others require that the files be downloaded and opened.

Sessions that have been automatically scheduled via session restrictions will not trigger this automation.
