Using a prepared .csv file, you can import a list of names and emails to automatically register attendees for your event.

How to import attendees

Importing the file

From the Registration > General > Attendees page, locate the green Import Attendees button and click it.

Read the instructions carefully on the right side of the following page.

Some of the instructions, as summarized are:

  • You should download the provided .xlsx template as a starting point.

  • Use a comma-delimited file (set on export from Excel or Sheets)

  • You can populate all custom Registration Form fields as part of the import but care must be taken with naming columns (capitals, spacing, etc. must be exact).

  • Attendees will be emailed after the automatic registration completes (this cannot be disabled).

  • First Name, Last Name, and Email Address is the minimum required information needed to use the automatic import.

Despite this summary: carefully read the instructions on the right side of the /import/ page.

What if the values in one of my columns is bad or unreadable?

No issue with information in a column will halt the import.

Bad values in the key information columns (First Name, Last Name, and Email) will result in an error message after the import completes with the row numbers. Those records will not be imported.

Bad values in non-key information columns (column containing values from a custom Registration Form) will just be skipped and the import will be completed with those values blank.

If I import the same file twice, will I create duplicates?

Importing the same file will not created duplicate attendee records, you can work on any rows with errors and then run the import process again using the same file.

Select a Pass and Map Fields

After the file has been selected, you'll need to select the pass that will be applied to these Attendees and map columns from the .csv file with the key and form fields in Attendease.

Using the drop-down list, select a Primary Pass to apply to all attendees in the import.

If Add-on Passes are available, you can add these as well.

Attendease will have identified the columns in your import, you will see them under the "Your Field" column. Using the "Map to..." drop down, match the column from the import with a field in Attendease or your custom Registration Form.

Check the acknowledgement box, and select Import.

Attendee experience of being automatically registered

Imported attendees will be sent a confirmation email with a link to the event website.

Clicking on the link in the email will bring them to a login screen where they can either create a password or login with their existing password.

Once logged in the Attendee will need to click My Account in the top right and navigate to "My Registration".

From here Attendees can pay outstanding balances created as part of the automatic import process, or edit the information added automatically by your import.
